Personal Assistant to Secretary General

The European Heat Pump Association (EHPA) is looking for Personal Assistant to the Secretary General to strengthen the administration team. In that position, you will be immersed in the daily work of a lobby association in the energy field, which in this period of political instability, has never been so crucial and at the center of all attention. You will have the chance to learn everything about Eu affairs, the energy sector and also take an active role in the European energy transition.

The Role

As Personal Assistant, you will be responsible for supporting our Secretary General in his daily work. In general, you will be responsible for:

  • Help compile letters, presentations etc. proofread and distribute material
  • Manage the Secretary General calendar
  • Screen calls, enquiries, requests etc.
  • Book travel/accommodation etc.
  • Manage expense notes
  • Maintaining filing systems
  • Update database
  • Support the rest of the team with administrative tasks when needed
  • Prepare all internal and external meetings
    • Prepare agenda
    • Write minutes
    • Prepare all needed documents (presentations, handouts)
    • Inform participants
The Profile
  • Bachelor’s degree or relevant experience as personal assistant or related
  • Experience working in a similar association is a bonus
  • Highly organised, with an aptitude in planning effectively to meet deadlines and an ability to work on multiple tasks in parallel;
  • Excellent presentation, with a keen attention to detail and commitment to quality;
  • Fluent spoken and written English – other EU languages is an asset;
  • Excellent computer skills;
  • Enjoy being part of a small and dynamic international team;
  • Authorised to work in Belgium
